For today's companies and organizations, ensuring that data is maintained properly and made available to employees and users is an essential consideration. The traditional way of doing this is through a physical DVD archive. However, there are some compelling reasons that you should ditch the disks and go virtual. What incentives might you find to get rid of your physical library, though?

Physical Libraries Are a Resource Drain

Today, it's more important than ever that you reduce resource drains. Tough economic times and narrower profit margins mean that anything that strains your resources needs to be eliminated. Your physical DVD archive is just such a drain. There are several ways in which maintaining such a library can strain your company's resources.

First, you have to pay for DVD or CD creation. This can be costly, particularly in the case of software. Once those disks are created, you have to have somewhere to house them. This represents another cost, as that space could be eliminated or put to another use if you did away with the library altogether. In addition, you have the problem of lost and damaged disks.

When employees use the disks in your library, there is always the chance for loss or damage. It is unavoidable. Replacing lost or damaged disks represents just one more cost for your company or organization. Finally, you have the problem of wasted time. With a physical disk, only one person can access the data or software contained on it at a time. However, there is often a need for multiple people to access that data at once.

A Virtual DVD Archive Is Better

Transferring the data from physical DVDs to a virtual format offers some significant benefits. Obviously, if the data is stored on a hard drive, rather than a disk, then the chance for loss and damage are nil. In addition, when you store your data in an electronic format, multiple users can access that information at one time. Finally, you don't need to worry about the library taking up an enormous amount of space – it's stored on the hard drive of a specialized server, which takes up no more room than a computer.

Obviously, there are some serious benefits to be gained by eliminating your physical DVD archive and investing in a virtual one. Reducing the strain on your resources through this method can translate directly to better profitability, better organization and streamlined operation.
